Thank you for choosing Scholar Sphere Campus / Scholar Sphere (Pvt) Ltd. We are committed to providing quality online education, professional development programmes, and learning opportunities to our students.

This Refund & Cancellation Policy explains the terms and conditions applicable to payments made for courses, programmes, registrations, assessments, examinations, certifications, and other educational services provided by Scholar Sphere Campus.

By making a payment through our website or other authorized payment channels, you acknowledge that you have read and understood this Refund & Cancellation Policy.

1. Course Enrolment Payments

Payments made to Scholar Sphere Campus are generally considered payments for a specific educational programme, course, registration, examination, assessment, certification, or related educational service.

Before making a payment, students are responsible for reviewing the relevant programme information, including:

  • Programme title;
  • Course duration;
  • Entry requirements;
  • Course fee;
  • Payment plan, where applicable;
  • Programme delivery method;
  • Assessment requirements;
  • Certification or awarding arrangements; and
  • Any other applicable programme conditions.

Once enrolment has been confirmed and access to classes, learning materials, student platforms, or other educational services has been provided, payments may become non-refundable, subject to the provisions of this policy.

2. Cancellation Before Course Commencement

A student who wishes to cancel their enrolment before the programme commences may submit a written cancellation request to Scholar Sphere Campus.

The refund eligibility will be reviewed based on:

  • The date on which the cancellation request is received;
  • Whether the student has received access to learning materials or online platforms;
  • Whether classes or academic services have commenced;
  • Whether administrative, registration, examination, certification, or third-party costs have already been incurred; and
  • The specific terms applicable to the programme.

Where a refund is approved, Scholar Sphere Campus may deduct reasonable administrative and third-party charges that have already been incurred.

3. Cancellation After Course Commencement

Once a student has commenced a programme, attended a class, accessed course materials, participated in academic activities, or otherwise utilized the educational services provided, course fees are generally non-refundable.

This applies even if the student subsequently decides not to continue the programme.

The following circumstances do not automatically qualify a student for a refund:

  • Failure to attend online classes;
  • Failure to complete assignments;
  • Failure to participate in academic activities;
  • Personal or family circumstances;
  • Change of personal plans;
  • Lack of internet access or technical difficulties on the student's side;
  • Change of employment or study commitments; or
  • A decision to discontinue the programme.

Students are encouraged to contact the administration team as early as possible if they experience difficulties affecting their studies.

4. Instalment Payments

Where Scholar Sphere Campus offers an instalment payment option, students agree to make payments according to the agreed payment schedule.

An instalment payment does not automatically become refundable because a student decides to discontinue their studies.

Where academic services have already been provided, outstanding instalments may remain payable according to the agreed payment arrangement.

Students who fail to make payments by the applicable due date may be subject to restrictions on access to classes, learning materials, examinations, assessments, certificates, or other academic services.

5. Duplicate or Incorrect Payments

If a student accidentally makes a duplicate payment or pays an amount greater than the required fee, they should contact Scholar Sphere Campus as soon as possible.

The student may be required to provide:

  • Student name;
  • Programme name;
  • Date of payment;
  • Amount paid;
  • Payment reference or transaction ID; and
  • Proof of payment.

Once the transaction has been verified, Scholar Sphere Campus may refund the confirmed duplicate or excess amount to the original payment method, subject to applicable payment-provider requirements.

6. Failed or Unsuccessful Transactions

If an amount has been deducted from a student's bank account or card but the payment is not reflected in the Scholar Sphere Campus system, the student should contact us with the relevant transaction details.

We will verify the payment with the relevant payment service provider.

Where the payment is confirmed as successful, the student's payment status will be updated accordingly.

Where the transaction has failed and the amount is subsequently reversed by the payment provider, the student may be required to make the payment again using an approved payment method.

7. Programme Cancellation or Postponement by Scholar Sphere Campus

Scholar Sphere Campus reserves the right to postpone, reschedule, modify, or cancel a programme due to circumstances including, but not limited to:

  • Insufficient enrolment;
  • Lecturer or academic availability;
  • Technical or operational issues;
  • Changes in academic or institutional requirements;
  • Circumstances beyond our reasonable control; or
  • Other legitimate operational reasons.

Where Scholar Sphere Campus cancels a programme before it commences and is unable to provide a reasonable alternative arrangement, an eligible refund may be offered.

Where appropriate, students may instead be offered:

  • Transfer to another intake;
  • Transfer to another programme;
  • Credit toward another course; or
  • Another reasonable alternative determined by Scholar Sphere Campus.

8. Changes to Class Schedules

Scholar Sphere Campus may occasionally change class dates, class times, lecturers, course delivery arrangements, or other academic arrangements.

Reasonable efforts will be made to notify students of significant changes.

A change in lecturer, class schedule, or session arrangement does not automatically create a right to a refund.

Where a class is postponed or cancelled by Scholar Sphere Campus, reasonable efforts will be made to arrange a replacement class or alternative academic arrangement.

9. Non-Refundable Services and Charges

Unless otherwise stated in writing, the following may be non-refundable once provided, utilized, or incurred:

  • Registration or administration fees;
  • Course enrolment fees;
  • Digital learning materials already provided;
  • Classes or academic services already delivered;
  • Examination or assessment fees already incurred;
  • Certification fees already incurred;
  • Awarding-body or university-related charges already paid;
  • Third-party service charges;
  • Payment-processing charges where applicable; and
  • Other services that have already been utilized.

10. Certificates and Academic Documents

Fees relating to certificates, transcripts, examination services, assessments, verification, or other academic documents may be subject to separate terms.

Where Scholar Sphere Campus has already paid or committed funds to an external awarding body, university, examination body, certification provider, or other third party on behalf of a student, that portion of the payment may not be refundable.

Students may also be required to satisfy the applicable academic requirements before certificates or other academic documents are issued.

11. Refund Method

Where a refund is approved, Scholar Sphere Campus will normally process the refund using the original payment method where reasonably possible.

For payments made through third-party payment gateways, the refund process may be subject to the terms and processing procedures of the relevant payment provider.

Scholar Sphere Campus is not responsible for delays caused by banks, card issuers, payment gateways, or other financial institutions.

12. Refund Processing Time

Approved refunds will normally be processed within 7–14 business days after the refund has been approved and all required information has been verified.

The time required for the refunded amount to appear in the student's account may vary depending on the student's bank, card issuer, or payment service provider.

13. Refund Request Procedure

All refund and cancellation requests must be submitted in writing to Scholar Sphere Campus.

The request should include:

  • Student's full name;
  • Registered email address or telephone number;
  • Programme name;
  • Payment date;
  • Amount paid;
  • Payment or transaction reference;
  • Reason for the refund or cancellation request; and
  • Proof of payment, where applicable.

Scholar Sphere Campus may request additional information or documentation where necessary.

Submission of a refund request does not guarantee approval of the refund.

Each request will be reviewed according to this policy and the circumstances of the individual case.

14. Promotional Offers, Discounts and Scholarships

Special promotional offers, discounts, scholarships, sponsorships, and other financial concessions may be subject to separate terms and conditions.

Unless specifically stated otherwise, promotional or discounted payments are subject to the same refund and cancellation conditions applicable to the relevant programme.

Scholar Sphere Campus reserves the right to specify separate refund conditions for particular promotional campaigns or scholarship programmes.

15. Student Transfer Requests

Where appropriate, Scholar Sphere Campus may allow a student to transfer from one programme or intake to another.

Any transfer request will be subject to availability and approval by the administration.

A transfer is not automatically available for every programme and does not necessarily create a right to a cash refund.

Any applicable administrative or fee difference may be communicated to the student before the transfer is processed.

16. Exceptional Circumstances

Scholar Sphere Campus may consider exceptional circumstances on a case-by-case basis.

Students who believe that their circumstances require special consideration should contact the administration as soon as reasonably possible and provide supporting information where appropriate.

Consideration of an exceptional circumstance does not guarantee a refund.

Scholar Sphere Campus reserves the right to review individual cases fairly and make reasonable decisions based on the circumstances of each case.

18. Policy Updates

Scholar Sphere Campus reserves the right to amend or update this Refund & Cancellation Policy when necessary.

Any updated version will be published on this page with a revised “Last Updated” date.

Students are encouraged to review this policy before making payments or enrolling in a programme.
